Version One’s electronic document creation solution, DbForm, and electronic delivery solution, DbMail, which are tightly integrated into ArjoHuntleigh’s enterprise resource planning (ERP) system, MAX, are being used to invoice customers electronically. These solutions have eliminated the printing and postage of 70,000 paper invoices per year, which until the implementation of Version One’s software, were being fulfilled by a third party provider. ArjoHuntleigh’s UK IT Manager, Chris Prevett says, “We needed to streamline the way we created and distributed invoices to our customers. Customer invoicing was being fulfilled manually by a third party provider, which was costly and didn’t provide us with the flexibility we needed.” Version One’s DbForm enables the quick and easy design of high quality customer invoices. These invoices are then distributed automatically by email as PDF documents, removing the costly issuing of paper invoices via a third party company. Prevett says, “With Version One’s solutions, we are now able to invoice customers electronically, cutting stationery and postage costs. As thousands of customers are invoiced automatically with minimal input required from the finance team, staff can concentrate on value-adding tasks and not time-consuming administration.” ArjoHuntleigh is also reducing paper waste, supporting its green agenda and as copy invoices can be sent with just a click of a button, the company is considerably improving customer service. Prevett adds, “The implementation of Version One’s software has revolutionised our invoicing processes, enabling us to send out invoices in a more timely and cost-effective manner. This is key in the current economic climate.
