Job summary

This is not a traditional EA role. You will be a trusted right hand, deeply involved in strategy, governance and high-impact projects, including acquisitions, tenders, partnerships and Board-level activity. It’s a role for someone who thrives on responsibility, complexity and trust, and who brings both intellect and emotional intelligence to their work.
About the role:
Reporting to the CEO, and working closely with the Founder and
the Finance Director, the Executive Assistant provides high-level
executive, governance and project coordination support across Athena’s
expanding portfolio of care homes and strategic initiatives.
You’ll help ensure our Executive Team can lead with clarity, confidence and focus by anticipating needs, managing priorities and ensuring that complex information is organised, accurate and accessible.
The role combines strategic oversight with meticulous attention to detail and calls for exceptional discretion, sound judgement and strong communication skills.

Shift Pattern:
37.5 hours per week across Monday to Friday.

This role is fully remote.
Key Duties & Responsibilities:
- Provide high-level executive support to the CEO, with additional support to the Founder and Finance Director as required.
- Manage complex, fast-paced diaries, inboxes and priorities with foresight and sound judgement.
- Prepare agendas, briefing notes, Board Packs and meeting materials; take accurate minutes and track actions.
- Coordinate acquisitions, tenders and major business projects, including due diligence and documentation.
- Liaise with legal, financial, property and regulatory advisors to ensure deadlines and requirements are met.
- Support contract reviews, tender submissions and key commercial documentation.
- Compile and maintain governance, Board and compliance documentation, ensuring accuracy and organisation.
- Translate complex legal, policy and financial information into clear, actionable summaries.
- Maintain secure and well-structured filing systems for confidential business records.
- Act as a trusted first point of contact on behalf of the Executive Team.
- Build strong professional relationships with internal and external stakeholders.
- Handle sensitive and confidential information with exceptional discretion.
- Protect executive time by setting boundaries and navigating high-pressure situations with calm and diplomacy.
About You:
You are an experienced Executive Assistant who thrives in
fast-paced, high-responsibility environments. You’re confident working
at senior level, comfortable with complexity, and motivated by doing
work that truly matters. You’re as confident managing a demanding
diary as you are reading a legal report and you bring both precision
and warmth to everything you do.
You’ll bring:
- At least 5 years’ experience as a Senior or Executive Assistant supporting a Founder, CEO or Executive Chair.
- Experience working in a high-growth, highly regulated environment.
- Strong ability to interpret legal, policy and financial documentation.
- Proven experience coordinating complex, multi-stakeholder projects.
- Outstanding written and verbal communication skills.
- Excellent judgement, discretion and emotional intelligence.
- A background in legal, compliance, governance or policy administration.
