ABOUT THE ROLE
We are looking for a professional, organised, and personable Receptionist to join our team at Capel Grange Care Home in Newport. As the first point of contact for residents, families, visitors, and contractors, you will play a vital role in creating a welcoming and well-run environment.
This is a varied administrative and front of house role that requires excellent communication skills, strong attention to detail, and the ability to manage multiple tasks confidently.
KEY RESPONSIBILITIES
Front of House
- Answering telephone calls in a professional and timely
manner
- Welcoming all visitors to the home and ensuring they
sign in and out accordingly
- Maintaining accurate contractor
visit records and updating relevant registers
Administrative Support
- Supporting the Administrator with the coordination of
hairdresser and chiropodist appointments and the management of
resident monies
- Assisting on recruitment days, including
managing sign in/out, photocopying and verifying documentation
Payroll and Training Administration
- Preparing timesheets in the correct order ahead of each
payroll month
- Uploading manual training records to the
Learning Management System (LMS)
- Adding training sessions to
the Microsoft Teams channel, including details of the training being
delivered
- Maintaining training registers and updating records accordingly
Resident and Family Engagement
- Producing a resident birthday list each month for the month
ahead
- Preparing activity packs on or around the 27th of each
month
- Setting up fortnightly messages for the team via the
SignIn App; collating engagement data and presenting findings to the
Manager, Peri, and RI
- Setting up fortnightly messages for
visitors via the SignIn App, including relatives' meeting
notifications and visit experience surveys (maximum three questions)
WHAT WE ARE LOOKING FOR
- Previous experience in a receptionist or administrative role,
ideally within a care or healthcare setting
- Excellent
communication and interpersonal skills
- Strong IT skills with
the ability to learn new systems quickly
- Highly organised with
the ability to prioritise and manage a varied workload
- A
professional and compassionate approach at all times
