Elm Lodge is a modern, purpose-built care home in Chesterfield that has been providing high-quality residential and dementia care since the mid-1990s. We are a small, family-run organisation under Reason Care Ltd, dedicated to providing a "home-from-home" environment where our 46 residents are treated with the utmost dignity, respect, and compassion. Our home is known for its warm, inclusive atmosphere and beautiful garden oasis overlooking local allotments.

The Role

We are looking for a dedicated Care Home Administrator to be the backbone of our daily operations. Working closely under the guidance of the Home Manager, you will ensure the smooth running of the home’s front-of-house and back-office functions.

Key Responsibilities

  • Payroll & Finance: Manage staff timesheets and process monthly payroll accurately. You will act as the primary liaison for the Head Office Accounts Team, ensuring all financial data, invoices, and billing are submitted on time.
  • Family Liaison: Under the Home Manager's direction, you will be responsible for sending invites to families for residents' reviews, social gatherings, and home meetings.
  • Communication: Act as the first point of contact for visitors and families, providing a professional and empathetic welcome to Elm Lodge.
  • Compliance: Maintain up-to-date resident and staff files in accordance with CQC regulations and data protection laws.
  • Office Support: General administrative duties including filing, ordering supplies (stationery/uniforms), and assisting the management team with reporting.

Skills / Qualifications:

  • What We Are Looking For Strong experience in payroll processing and managing staff timesheets. Excellent communication skills with a focus on building relationships with residents' families. A "can-do" attitude and the ability to work independently while following the Home Manager’s guidance. Proficiency in Microsoft Office and experience with accounting software.
