Job Summary
Purpose of the role
To own the commercial and administrative running of the home,
freeing the General Manager to focus on clinical leadership and care
quality. Where the Business Administrator processes and supports, the
Business Manager owns outcomes — managing budget performance,
occupancy, staffing costs, and compliance systems with real
accountability, and acting as the home's main link into Central
Support on finance and operational matters.
Key Responsibilities
Financial & Commercial
- Own the home's budget: monitor spend, investigate variances, and report performance to Central Support and the General Manager
- Manage resident funds, petty cash, invoicing, and financial record-keeping, ensuring the home is always audit-ready
- Support occupancy targets — track enquiries, conduct show rounds, and work with the GM on admissions pipeline
- Understand the home's funding landscape — local authority, CHC, and self-funded placements — including how local authority contracts work, and liaise with social workers on funding and placement matters.Rota, Payroll & Staffing
- Own rota planning and staffing efficiency along with the General Manager — control agency spend, resolve gaps proactively rather than just flagging them
- Oversee payroll submission and act as the escalation point for payroll queries the Administrator can't resolve
- Monitor leave, absence, and staffing data, identifying patterns and cost pressures
People & Oversight
- Line-manage the Business Administrator and Receptionist — set priorities, quality-check their work, and develop them
- Coordinate recruitment with Central Support team for home-based support roles, from process design through onboarding
Compliance & Systems
- Ensure administrative systems meet CIW and company standards, with oversight (not just execution) of audits and inspection-readiness
- Maintain oversight of training compliance, DBS records, and staff files
- Handle escalated family/resident queries and complaints requiring more judgement than front-line admin
Person Specification
Essential:
- Experience managing budgets, rotas, and payroll processes with real ownership — not just data entry
- Some experience supervising or mentoring junior admin staff
- Confident liaising with senior management/central teams, not just the on-site team
- Strong judgement — able to resolve issues rather than escalate everything
Desirable:
- Prior care sector experience (CIW/CQC-facing admin or compliance)
- Experience stepping up from a Business Administrator/office manager type role previously
