We're looking for an organised, friendly Business Administrator to provide efficient, person-centred administrative support to keep Plane Tree Court running smoothly for the residents, families and staff who call it home.
The Role
As our Business Administrator, you'll provide efficient, organised and person-centred administrative support to keep Plane Tree Court running smoothly, reporting to the Registered Home Manager. You'll support compliance with CQC regulations, maintain accurate records, manage financial and HR processes, and ensure residents, families, staff and external professionals receive a high standard of service.
Key Responsibilities
• Act as the first point of contact for residents, families, visitors and professionals, providing a warm, professional welcome and responding promptly to all enquiries
• Manage reception, ensuring cover is maintained at all times during working hours
• Ensure all visitors are identified and recorded in line with safeguarding procedures, including ID checks
• Support with show arounds, delivering the Serencroft script and managing the customer journey
• Uphold GDPR compliance and strict confidentiality, ensuring resident, staff and operational information is stored, handled and shared securely, and report any safeguarding concerns or allegations immediately to the Home Manager or safeguarding lead
• Support the home's Quality Assurance Programme, maintain the IPC folder for external visits and inspections, and update all trackers that support CQC compliance
• Follow all health and safety procedures, including fire safety and emergency procedures, and know how to manage reception during a fire alarm, emergency or infection outbreak
• Manage day-to-day administrative functions, including calls, emails, correspondence, reports, letters and meeting minutes, and support with procurement and ordering
• Maintain accurate records of residents' personal monies and the home's petty cash, and ensure residency and funding documentation is recorded accurately and communicated to the central finance team
• Assist the management team with the weekly reporting required for central management
• Deal with rota shift queries in Planday each week ahead of the payroll cut-off date, checking annual leave, contractual amendments and absence codes
• Manage and upload new starter HR files into Planday in line with the Safer Recruitment File Checklist, and deactivate leavers once exit interviews have been uploaded
• Support the Home Manager with recruitment and onboarding, including advertising, interview minutes, offers, pre-employment checks and DBS compliance
• Keep compliance data for supervisions, DBS, right to work, appraisals and probation reviews up to date in Planday, and prepare the HR compliance reports for the weekly HR meeting with the Home Manager
• Monitor sickness, update the Bradford Factor weekly and report long-term sickness at the HR meeting
• Update the Skills for Care Workforce Data weekly and download the Care Skills training matrix from Atlas for management review, ensuring new starters complete mandatory training before starting
